ADMINISTRATIVE COORDINATOR

Municipality of Southwest Middlesex

The Municipality of Southwest Middlesex is seeking an Administrative Coordinator. The role requires strong organizational and communication skills, ability to meet deadlines and multi-task. Reporting to the Clerk, the Administrative Coordinator provides a variety of administrative, clerical, and secretarial support functions to multiple municipal departments.

Duties

  • Clerical and secretarial support for the Clerk, and multiple other departments
  • Answering the phone and responding to questions and providing information to the public
  • File maintenance, including property file maintenance, filing, scanning of documents, and maintaining and tracking records
  • Administrative functions for the building and by-law division
  • Deputy Division Registrar under the Vital Statistics Act
  • Lottery Licensing Officer under the Gaming Control Act
  • Commissioner of Oaths by the Ministry of Attorney General
  • Assist with coverage for other Coordinators during illness and vacation, as time permits
  • Provide back-up support to front reception staff
  • To perform other duties as assigned

Qualifications

The ideal candidate will bring to the position:

  • Excellent customer service skills
  • Ability to work in a fast-paced environment and remain professional under pressure
  • Previous experience in a municipal setting in a support role
  • Strong oral and written communication skills
  • Organizational and time management skills
  • Working knowledge of computer equipment and strong work processing skills
  • Strong sense of confidentiality
  • General knowledge of municipal statutes, policies, and procedures

Salary range $23.14-$27.06 hourly for 40 hours per week (2022 rates).
